We collect and process data to ensure the smooth, safe, and effective running of our classes. The sources of this data are clearly listed below.

A. Data Collection Method

We collect your information through the following channels:

• Our Website Registration Forms: This includes direct input forms used for expression of interest, newsletter sign-ups, and creating a Parent/Child profile before booking.

• Third-Party Booking Systems: We use trusted external booking software to handle class scheduling and payment processing. Data entered into these systems is secured and transmitted to us.

• Paper or Digital Consent Forms: Specific forms for collecting Special Category Data (like allergies and medical information) and Media/Image Consent are often during the Registration Process either in paper form on the first day or via secure digital forms.​

 

B. Data Collected from Parents/Guardians​

• Contact Data: (Name, Phone, Email, Address): To manage the booking, process inquiries, send class updates, and use for emergency contact.

• Financial Data  (Payment card details or bank details): To process class fees and subscriptions. We use third-party payment processors and do not store full card details. 

• Communication History: Records of emails or messages related to scheduling, payments, or performance feedback.

This information is collected from the Parent/Guardian during registration or enrolment updates via Digital Forms or Website

• Identification Data (Child's Name, Age/Date of Birth): To assign them to the correct class group and confirm identity for pick-up/drop-off.

• Safety Data (Allergies, medical conditions, specific needs): Essential for the Child's safety and welfare during in-person classes.

• Class Performance Data : To monitor learning, tailor instruction, and provide progress reports to the Parent/Guardian when necessary

D. Media and Imagery Consent

We may seek explicit consent for photographs or videos taken during class for promotional purposes (website, social media). This consent Data is collected during the registration process.

• If consent is given, photos will be used solely to promote Logic Labs and will not include the Child's full name without specific permission.

• If consent is denied, we will ensure the Child is not included in any promotional imagery.

• Administrative and Teaching Personnel: Essential safety data (Child's name, age, specific medical and emergency contact details) is disclosed to our contracted teaching staff and administrative personnel solely for the purpose of ensuring the vital interests and welfare of the Child during class sessions.

D. Mandatory Legal Disclosure to Competent Authorities

We reserve the right and acknowledge the legal obligation to disclose Personal Data, including Special Category Data (Safety Data), to specific third-party organizations and Competent Authorities without prior consent, where legally mandated or justified by an overriding public interest. This includes, but is not limited to:

• Law Enforcement and Governmental Authorities: Disclosure in response to a valid court order, warrant, or legally enforceable request from regulatory bodies.

• Child Protection Agencies and Public Bodies: Disclosure to Police, social services, and other child protection agencies when we have a reasonable belief that such disclosure is necessary to protect the vital interests of the Child or other individuals, or to comply with statutory safeguarding duties. 5. Geographical Storage and Data Sovereignty

All Personal Data and Special Category Data collected and processed by Logic Labs is stored exclusively on servers physically located within the United Kingdom. We do not engage in the international transfer of data outside of the UK, ensuring adherence to the principle of data sovereignty and compliance with UK GDPR. Our agreements with all Data Processors (as detailed in Section 4.A) strictly mandate that data is hosted and maintained solely within the UK.

1. Right to Access (SAR): You can request a copy of the Personal Data we hold about you and your Child

3. Right to Erasure (Right to be Forgotten): You can ask us to delete your data where there is no legal reason for us to continue holding it 

4. Right to Restrict Processing: You can limit how we use your data.

5. Right to Data Portability: You can request your data in a structured, commonly used format.

6. Right to Withdraw Consent: Where we rely on consent (e.g., for Special Category Data or promotional imagery), you can withdraw that consent at any time.

​7. Data Security and Retention

• Security: We implement appropriate technical and organisational measures to protect Personal Data from accidental loss, misuse, unauthorized access, and alteration. All electronic databases are password-protected and restricted to essential staff.

• Retention: We retain Parent/Guardian and Child data only for as long as necessary to fulfil the purposes outlined in this policy, typically for the duration of the Child's enrolment plus a reasonable administrative period afterwards no longer than 5 years for reporting and re-enrolment purposes. Safety data is securely destroyed once the Child is no longer enrolled.
